Digital by Default AI Ltd ("we", "us", "our") is the data controller for personal data processed through the Dottie platform and marketing website, unless we process data on your behalf as a processor under a Data Processing Agreement.

Scope
This policy covers visitors to dottie.cloud, customers using the Dottie application, callers and browser-voice users who interact with customer voice agents, contact form submitters, partner applicants, and demo participants.
Dottie is a voice AI agent platform. We do not offer chat AI agents as a product.
Data we collect
Account data: name, email, organisation details via Clerk authentication.
Voice conversation data: call audio streams, transcripts, visitor contact details captured on calls, call metadata, recordings (where listen-back is enabled), and AI-generated summaries or quality scores.
Billing data: subscription status and payment references via Stripe (we do not store full card numbers).
Technical data: IP address, browser type, cookies (see our Cookie Policy), and usage logs.
Partner applications: business contact details and promotion plans you submit.
AI transparency
Dottie voice agents are artificial intelligence systems. Callers and browser-voice users are informed at the start of the interaction that they are speaking with an AI assistant (EU AI Act Article 50 transparency).
Where call recordings or transcripts may be stored, we include a short notice that the call may be recorded or transcribed for quality and service.
Customers (deployers) remain responsible for lawful use of the service in their industry and for any additional notices required by local law.
Lawful bases (GDPR / UK GDPR)
Contract: providing the Dottie voice service you subscribe to.
Legitimate interests: securing our platform, improving product quality, and partner programme administration.
Consent: marketing cookies (when enabled), demo phone calls, and optional analytics.
Legal obligation: tax and accounting records for partner commissions.
Retention
Voice conversation, transcript, and lead data: default 12 months (configurable per organisation in dashboard privacy settings). Associated call recordings are deleted with the conversation when retention runs.
Usage and audit logs: up to 24 months.
Partner commission records: 7 years for accounting.
Demo call consent records: 90 days.
Your rights
If you are in the UK or EEA you may request access, rectification, erasure, restriction, portability, or object to processing. Contact us at privacy@dottie.cloud.
Dottie customers can export organisation data and request deletion from the dashboard Privacy section.
You may lodge a complaint with your local supervisory authority.
International transfers
Some subprocessors may process data outside the UK/EEA. We rely on appropriate safeguards such as Standard Contractual Clauses where required.
Global privacy rights (including California)
Depending on where you live, you may have additional rights under local laws such as the California Consumer Privacy Act (CCPA/CPRA), Canada’s PIPEDA, Australia’s Privacy Act, or Brazil’s LGPD.
We do not sell personal information for money. We do not share personal information for cross-context behavioural advertising. If you are a California resident, you may request access, correction, or deletion of personal information we hold as a business, and you may designate an authorised agent. Where we process caller data solely as a service provider / processor for a business customer, please contact that business (our customer) first; we will assist them under our DPA.
Sensitive information (such as voice recordings) is used only to provide the voice service and security, not to infer characteristics for advertising.
Children
Dottie is a business service not directed at children. Do not use the service to target children under 16 (or the higher age required in your market) without appropriate lawful basis and parental controls.
