How Dottie collects, uses, and protects personal data.

Who we are

Digital by Default AI Ltd ("we", "us", "our") is the data controller for personal data processed through the Dottie platform and marketing website, unless we process data on your behalf as a processor under a Data Processing Agreement.

Scope

This policy covers visitors to dottie.cloud, customers using the Dottie application, end-users who interact with hosted chat widgets and contact forms, partner applicants, and demo participants.

Data we collect

Account data: name, email, organisation details via Clerk authentication.

Conversation data: messages, visitor contact details, call metadata, and summaries generated by AI agents.

Billing data: subscription status and payment references via Stripe (we do not store full card numbers).

Technical data: IP address, browser type, cookies (see our Cookie Policy), and usage logs.

Partner applications: business contact details and promotion plans you submit.

Lawful bases (GDPR)

Contract: providing the Dottie service you subscribe to.

Legitimate interests: securing our platform, improving product quality, and partner programme administration.

Consent: marketing cookies (when enabled), demo phone calls, and optional analytics.

Legal obligation: tax and accounting records for partner commissions.

Sharing and subprocessors

We use trusted subprocessors to run Dottie. See our Subprocessor list for current providers (hosting, database, authentication, payments, telephony, and AI inference).

We do not sell personal data. We may disclose data if required by law or to protect rights and safety.

Retention

Conversation and lead data: default 12 months (configurable per organisation in dashboard privacy settings).

Usage and audit logs: up to 24 months.

Partner commission records: 7 years for accounting.

Demo call consent records: 90 days.

Your rights

If you are in the UK or EEA you may request access, rectification, erasure, restriction, portability, or object to processing. Contact us at privacy@dottie.cloud.

Dottie customers can export organisation data and request deletion from the dashboard Privacy section.

You may lodge a complaint with your local supervisory authority.

International transfers

Some subprocessors may process data outside the UK/EEA. We rely on appropriate safeguards such as Standard Contractual Clauses where required.

Changes
